A
Word From The President --
Client
Retention Powered by Technology |
On
August 1st we will be launching our new Client
Retention Website. You can visit
a couple of the pages now, especially one where
you can request a complimentary copy of The
Retention Monitor by clicking
here.
It’s
another piece of freeware that we are releasing
to our
clients
and is the first step toward implementing a complete
Client Retention System. |
|
This
graphical monitor has been in development for several years.
The current beta version integrates with QuickBooks
2003, 2004 and 2005 and provides a complete historical view
and explanation of your most important client retention statistics.
If you are running a current version of QuickBooks and you
are interested in improving your client retention, it’s
a no-brainer to install this retention monitor. Integration
with other accounting packages is coming soon.
Again, The
Retention Monitor
is free. It provides an enormous amount of detailed historical
data on your company’s client retention. It’s
the starting point for developing a complete, custom Retention System that will improve
your top and bottom lines in a dramatic way. If you are
also
using
GoldMine, then you’ve already got most of the tools
you need.
If
the results from The
Retention Monitor get your attention, we can then move
on to the next step – implementing your Client
Retention System. That part isn’t free,
but discussing it is.
Check
our web site at clientretention.net to find out how to
get your complimentary copy.
Late
Breaking: Joel has just released the latest in our line
of retention tools --
The Retention Estimator
The Retention
Estimator is a customized spreadsheet allowing
you to enter a few simple estimates (guestimates?) concerning
your company's revenue and recent retention rates. This is
an excellent tool for a preliminary analysis prior to running
the more accurate and more involved Retention Monitor.
You will immediately see the projected effect of even a
slight improvement in your retention. The power of a spreadsheet
allows you to experiment with the numbers being either conservative
or wildly optimistic.The
effects of the improvement are shown in both tabular and
graphic fashion.

Estimator,

Fool's
Gold: GoldMine Tips
(with
tongue planted firmly in cheek) |
The
Best Way to Handle GoldMine Alarm Alarms
that keep popping up on your screen can certainly be an
annoyance. They can get in the way of getting real work
done and, if not managed properly, can greatly reduce your
efficiency.
To assure
a consistent approach toward these annoying electronic
pokes in the butt, I am submitting for your consideration
the “fully authorized GoldMine Alarm methodology.”
When
your first alarm of the day pops up at you, there is a
choice of
- ignoring
it,
- snoozing
it,
- deleting
it or
- completing
it.
If
you select Ignore, it will just come back in 10 minutes or
so. There is a parameter you can set to regulate the exact
amount of time before it comes back at you, but no matter
what interval you set … it still comes back.
Snoozing
gives you a bit more control. You can make it go away for
substantially longer than you can by simply ignoring it.
Deleting
it is actually a good option. By selecting Delete, the
Alarm not only stops pestering you, there is no evidence
that you were ever supposed to do anything at all. This
is particularly good for covering your tracks.
Completing
the activity might take some time or some specialized knowledge.
Stay away from this one, if at all possible.
Probably
your best approach is to do nothing. Just leave the Alarm
on your screen. The advantage to this methodology is that
no further Alarms can pop out at you for the rest of the
day. You can sit undisturbed at your desk and go home at
the end of the day still fresh and calm.
Of
course we're joking here; used appropriately, Alarms go
a long way to keeping you on schedule and helping you avoid
missing important
milestones. If Alarms are piling up and getting in your
way however, you may want to consider viewing them from
the Alarms Tab in the Activity List window. This will provide
you with a view of all your pending Alarms. If you'd like
to learn about ways to optimize the use of Alarms, how
to more efficiently use the Activity List, or any other
usage questions, click

CCC's
Jill Messier Cited in new Crystal Reports
Book
Jill
has been cited in a technical book on Crystal Reports.
Lila Brown, author of Crystal & GoldMine, Sys Admin,
acknowledged Jill for her, "GoldMine table and data
structure details."
Brown goes on to say, "Without such support, this book
would not have been possible." It's no wonder why Jill
is our report specialist. Contact
Jill if you'd like to customize or create a report.
Tech-Talk (Sage CRM 5.7 and GoldMine 6.7)

Attention
5.7 users -- There's a new patch (Sage 5.7d) available.
Check with us for consideration and download instructions.
The
latest version of Sage CRM 5.7 (build "f") is available.
You can only run this patch (aka SP1) if you're currently
running 5.7e.
According
to Sage, several Outlook integration (including a fix
for a problem where e-mail address and phone
number were not being copied over when adding an Outlook
contact CRM) have been addressed. In addition uploading Library
docs from another server, running reports with forecast fields
and data uploads from another server, along with a couple
dozen other issues have been fixed. As with all Sage CRM
upgrades, don't perform the installation before consulting
with us.
We've
been doing some very exciting Sage CRM custom programming.

Have You Used the History Tab/Filter Function?
Often,
when viewing the History Tab of a contact (especially a
long-standing account), it's hard to focus on a specific
activity type, date range, or user. Defining and activating
a Filter from within the History Tab can be a real time
saver.
This
GoldMine feature is often overlooked. When viewing the
History Tab for a specific contact, you can
right-click and select Options|Filter to
limit the historical information displayed.

Below
is a screenshot of the options available.
As
you can see, by thoughtfully selecting various Filter options,
you can more efficiently view a contact's
historical information. Note that when a Filter has been
activated there is a text prompt [Filter Active] reminding
you that certain history items may not be currently displayed
(as shown in the figure below). Make
sure
to right click and select Options|Release Filter to rest
the History Tab. The active
Filter affects all your contact records.

Jill
Messier demonstrated this feature to our Services Coordinator,
Karen
Boyd, and
Karen
found
it
a very useful tool to
review account
activity.
Thanks to Karen and Jill.
Contact
us for more information on this feature or GoldMine use
in general.
Create/Update
a Table of Contents in GoldMine's InfoCenter
Another
overlooked feature, this one in GoldMine's InfoCenter:
you can click on the Create Table
of Contents icon to display an easy-to-use listing of all
Folders and Pages
within a specific Section (as shown in the Figure below).
As portrayed in the figure below, we've created a listing
(in the window pane to the right) of all the Folders and
Pages in the Section entitled "Corporate."

Contact
us for more information on this feature or GoldMine
use in general.

We Wander

We wander the Web to identify very helpful (and sometimes,
very esoteric) websites.
1.
Understanding
Acrobat Document Control and Security Settings
With
the increasign use of Adobe Acrobat pdf files, it's more
important than ever to understand how to manage documents
and document security. So here's the location of
Acrobat's Document Control and Security web page. While
you're there, take a look around. There is a user forum,
update downloads and other useful Acrobat information.

When You're Ready to Take the Next Step with SQL
Four
Guys from Rolla is a rich source of information centering
on Active
Server Pages (ASP), Advanced
SQL Query, Database Programming and .NET technology. There
are some SERIOUS white papers here as well as links
to useful sites. There are also books and how to's. This
stuff is not for the faint of heart, but if you're looking
to take your interactive database skills to the next level
this is a great place to start.
