A Word From The President

A couple of years ago I co-wrote (with Mike DeLisa, our Director of Training), Microsoft CRM for Dummies. Mike and I were struck by the potential of the product and by its lack of a deep feature set. We assumed that Microsoft could afford to release the product, and then wait while developers (internal and external) added the required features to make CRM a competitive entry in the marketplace.

CRM has returned with Microsoft CRM 3 and I'm currently busy writing the accompanying Dummies book. I've been poking around enough in this newest version to know that the product has indeed matured. The Search function has been improved, and general navigation requires fewer screens and fewer clicks. There's a very useful Form Assistant and a powerful Marketing module.

The software is available now and the book should be on the shelves in June. We're certainly going to initiate a renewed effort to sell and service this release.

Adding "Related Companies" Functionality
While the option to create a visual Org Chart in Sage CRM can easily be overlooked, the capability is there. It just requires a bit of customization from the Administration area.

Once in Administration, select Customization|Company. Select the "Tabs" Tab and select the "Company" Tab Group Name. In the resulting Properties panel enter the Tab Caption you desire (Related Companies in the example below).

Then select relatedcompanieslist from the System Act drop-down menu, Add the Tab and Save the change. Now, Company records will have a new Tab that looks like the screen below.

In this example the Parent Company is 3G Homes, with the three lower icons representing other company records in the database which have been linked to 3G. Note the red (Communications), yellow (Cases) and green (Opportunities) icons. Clicking on one of these, in the respective company icon, will display that company's list of the type of activity selected. Creating, and using, this Tab is a great way to graphically (and navigationally) represent relationships among distinct companies in your database.

Searching E-mails for Specific Text

We recently had a tech support call about searching throughout an entire e-mail folder for a specific text string. GoldMine has a very sophisticated search capability built right into the E-mail Center. Click the binocular icon ("Find Messages") in the E-mail Center toolbar...

and the E-mail Message Search window appears as shown below.

Search options aplenty: you can search any of several fields (case sensitive or not), and limit the search to any e-mail folder (including custom folders you may have added).

Once you've defined your parameters, click the Search button. Matching e-mails will be found in a new folder, called Search Results as shown below.

The Search Results will remain active for the rest of your GoldMine session. When you log out of GoldMine and log in again, the folder will be gone.

An important tip: make sure to define your search as tightly as you can. Remember, if you select All Folders, the search will be evaluating MANY records (this is your entire Mailbox folder) and the search can take a very long time.

GoldMine 6.xx -- Two Issues Related to Mail Merge/Word Link
1. Annoying Save As window Appears When Doing a Mail Merge
When running a mail merge (Contact|Write|Mail Merge) and you select Delivery To: Printer on the Recipient Tab, Word opens and starts the mail merge as usual. But then Word will minimize and the Save As window appears. This is not a serious problem, simply an annoyance. Just click Cancel and normal printing will continue. This should be corrected with next build.

Users Who Also Use Outlook:
Has Your GoldMine/Word Link Disappeared?
If your GoldMine Menu item in Word has disappeared, take a look at your Outlook Options window. FrontRange is reporting a known bug (no fix date has yet been identified). Take a look at the screenshot below; if your settings are the same regarding Compose in this message format: and the checkbox next to Use Microsoft Office Word 2003 to edit e-mail messages, you'll probably experience the disappearing link, although you may not. (Note: these fields have slightly different labels in earlier versions of Outlook.)

You will have to uninstall the GoldMine Word link using the installer and re-check or uncheck this box.

We Wander the

We wander the Web to identify very helpful (and sometimes, very esoteric) websites.

1. Translations -- Free!
This site allows you to type in a phrase in English and select any one of a dozen languages (including Chinese -- Simplified and Traditional, Japanese and Korean). Another nice feature is the ability to go the other way and translate foreign phrases to English. Very handy and it's free.

2. ieSpell -- Check for Typos on Any Web Page -- So Many Sage CRM Users Have Been Asking For This, We Decided to Bring It Back
ieSpell is a free Internet Explorer browser extension that spell checks text input boxes on a webpage. It should come in particularly handy for users who do a lot of web-based text entry (e.g. web mails, forums, blogs, diaries) -- especially Sage CRM Users! Even if your web application already includes spell checking functionality, you might still want to install this utility because it is definitely much faster than a server-side solution. Plus you get to store and use your personal word list across all your applications, instead of maintaining separate ones on each application.
